    Telephone calls and mail received at your Virtual Office location can either be stored on-site in your dedicated voicemail or physical mailbox or forwarded to another business location or private residence. Meeting facilities are also available for use at our North Vancouver office for our Virtual Office clients

    Virtual Office services through West Quay Offices provide the benefits of Class A office space without the need for you to physically be there. 

    Additionally, you will be provided 24-hour remote access to your voicemail with your dedicated Virtual Office phone number.

    Whn you receive a mail under your company or your personal, we will take a photo of the mail, assign a barcode and send a notification with the photo to your email address. You can pickup your mail anytime from our reception by showing the notification email with barcode.

  • Can I add my employees to a plan?

    Yes, you can add all your employees for an extra fee to a plan and our services will be available for them as well.

  • What does additional people I add to a plan get?

    Additional person gets services offered for you under your company as well.

    Virtual Office Basic Plan: They will get mail forwarding and notification if a mail received for their name.

    Virtual Office Plus Plan: They will get above, their own voice mail, voice ail to their email address, mail forwarding.

    Virtual Office Resident Plan: They will get above and they will share 10 hours monthly access and their own selection on spoken company directory through Virtual Receptionist.

  • What is Team Dashboard when I add an additional person in my account?

    When you add additional people under your account, we also create a Teams module for you under our system. With Teams module you can schedule and track team attendence. You can see which team Member are coming to our office and track who hasn’t booked any resources.

     The Team attendance dashboard lets you do just that! All members of the team can:

    • Know when their colleagues are coming to the office with the shared schedule
    • See who’s already booked which resources to avoid booking twice for the same meeting
    • Get data on how often they come to the office compared to the rest of their team
    • Share your =hourly access credits on Resident plan
    • Their additional bookings and acess passes billed to one account and controlled by you
  • How will I choose my local phone number?

    You can choose your new number from our available North Vancouver numbers . Keep in mind that it does not have to be only North Vancouver, you can choose different numbers in other Canadian cities as well.

    You can also port your old number to our system as well.

  • How does Website Builder and Hosting work?

    Our website builder is a template-based system, where you will select template you like from multiple templates and then add your text and images to them. Click here to learn more about it.

    Website Builder and Hosting is offered complimentary on Virtual Office Plus and Resident plans .

    You also have option to purchase cPanel or WordPress hosting from us if you prefer. You can find these product in our member's portal once you join the plan.

  • What is Digital Mailbox?

    Optionally, if you choose, we can scan your incoming mail; email to you as attachement, or add it to your cloud space to download. Your mail will be micro-shredded (destroyed) after we scan it.

  • Who should use a virtual office service?

    A Virtual Office provides several of the amenities of a traditional office without the cost associated with a full-time office. Virtual Office packages are flexible and can adjust to meet your specific needs at any given point in time. Our Virtual Office packages are designed to grow with you as your business grows.

  • Will I also have access to physical office place?

    Our Virtual Office Resident plan does have 10 hours a month access to our lounge area and hot desks. You can use your hours any day during a month.

    Other than that, you can visit to collect your mail anytime to West Quay Offices. But if you need a space to work or bring your client, you can purchase any of our additional services at a discounted rate, depending on Virtual Office plan you choose. Hourly meeting rooms, daily private offices, hourly access or day passes can be purchased on your special discounted rates. At any point, if you determine that you’d like a more permanent solution, you can upgrade from a Virtual Office package to a full-time Private Office or Coworking Membership package and keep your Virtual Office telephone number and business address.

  • Can a Virtual Office plan has multiple persons on it?

    Yes, it can. Our displayed prices are for 1 person and a company. If you need additional people in your company, we can add them for additonal fee for each person. This would be $25 for Basic, $40 for Plus and Resident plans. Plus and Resident plan features forwarding incoming calls to additonal person(s) as well. Both plans have mail collection for additional person(s).

  • Will I get access to meeting rooms if I need?

    Virtual Offices at West Quay Offices do provide access to Meeting Rooms with a discounted fee when you have a Virtual Office plan. In addition to your new professional business address, Telephone Answering service, and reception services, you can enjoy private offices, meeting rooms, or our professional business lounge with discounted rates.

    Virtual Office Resident plan already includes access to lounge area and hot desks 10 hours monthly.

  • How West Quay Offices will handle my virtual office telephone line?

    If you are unable to answer a phone call, the virtual office phone auto-attendant at West Quay Offices will direct your callers to your individual voicemail box. You can access your voicemail box 24 hours per day / 7 days per week to retrieve your messages or have your voicemail messages emailed to you, allowing you to respond to your inquiries in a timely manner.   • How does call forwarding work with a virtual office?

    As a customer of West Quay Offices, you define how you would like your telephone calls managed with our Virtual Receptionist.   • How often will my mail be forwarded?

    With our mail-forwarding service, you can choose to receive your mail daily, weekly, or monthly, rather than collecting your mail in person.

  • Will my calls answered with my company name?

    We can program an auto-attendant welcome message however you like with the voice you prefer. The calls can be transferred to your personal or mobile phone. Or they can be directed to your voice mail. Virtual Assistant availabe in Virtual Office Plus plan or you can purchase as an add-on if you are on Basic plan.

  • Do I have to live in Vancouver area to utilize your virtual offices?

    No. We have clients who live all over the country and international who have virtual offices with us here in North Vancouver, BC, Canada.

  • Do you have a mail forwarding process?

    We offer mail forwarding to all our Virtual Office clients. We receive your mail here at our office and forward it to the address of your choice. Postage is calculated per month and charged in addition to your monthly fee. Some clients in the area prefer to stop by our office and pick up their mail, which is always an option. 

    We also have mail scanning and sending to you electronically service. 

  • Do your virtual offices have phone service?

    We do offer phone services, either for an additional charge or included in Plus package.

  • Does the Virtual Office plans include local phone and fax numbers?

    Our Virtual Office Plus package inluces local phone number and Resident Plan includes both local phone and fax number. You will also have the opportunity to transfer your previous number or get a new number from us.

  • Can I use my existing company phone number?

    Yes, there are 2 ways you are able to keep your existing company phone number:

    1. By setting up call forwarding from your current carrier to the phone number you choose with West Quay Offices (this process works instantly). 
    2. By porting your current company phone number from your existing carrier to West Quay Offices (this process takes 5 to 10 business days) and it is free.
  • Can I use my West Quay Offices location as my corporate mailing address?

    Yes, you can. We will provide you a different suite number in our locaiton. We also provide a Mail Forwarding service, where we can forward your mail to a designated address for the benefit of your privacy.

  • How can I book a meeting room?

    There are many easy ways to book a Meeting Room:

    1. Using our mobile application on your phone.
    2. Using the tablets that are located in front of the Meeting Rooms
    3. Through our online Member portal at https://members.westquayoffices.com 
    4. Visit our reception during business hours
    5. Contact us.
  • What is the payment method?

    You can pay conveniently by credit card. We need an active credit card in system for Virtual Office plans. Payments with cheque or e-transfer is not possible for Virtual Office plans unless you are pre-paying yearly.

  • Is there a verification process?

    We need an ID and if you are incorporated, your company registration. You can supply these phsically at our office or if you are not in town, you will get links to upload after signup.
