Dedicated desk etiquette focuses on respecting the shared workspace and its users. It involves maintaining a tidy and clean desk, respecting personal boundaries, and being mindful of noise levels. Essentially, it’s about ensuring a productive and comfortable environment for everyone. 

We built these dedicated desks to provide a diverse alternative for members seeking a desk to sit down and focus on their work. Dedicated desks are located at the end of the north corridor. A blue sign that reads “Dedicated Desks” will be located close to the entrance.

How to book #

Dedicated desks need booking if you do not have a permanent dedicated desk membership plan. You can book dedicated desks on:

Book online on Member’s portal #

On the member’s portal, click “Bookings” on the left-side menu and then click on “Dedicated Desk.”

Book on your mobile phone using our app #

On our Passport mobile application, tap on the second icon on the bottom left and tap on “Dedicated Desks.”

Book by scanning barcode on desk #

In the dedicated desk room, scan the barcode on the desk of your choice with your mobile device. Please make sure the light under the desk is “green,” which means it is available to book.

Dedicated Desk Room Etiquette #

  • You will see the dedicated desk number on desks; please sit in the correct desk that you have booked.
  • If the light under the desk is blue, that means the desk is ready for your booking time. Do not sit on any desks if the light is other than blue.
  • No wet food or dining on dedicated desks is allowed; however, if you need it, we have a small dining area located in the lounge near the kitchen. Beverages and (not cracking) dry snacks are fine as long as you keep them clean.
  • You can hold video meetings at your dedicated desk using headphones, ensuring that you do not disturb others with loud noises. If you need privacy or you want to use speakers, we suggest doing your video meetings in our complimentary soundproof phone booths in the lounge area.
  • We expect patrons using dedicated desks to leave the desk clean and in its original condition when their booking time ends. We have cleaning supplies in the kitchen area if you need them.
  • If the light under your desk turns red, that means your booking period has ended. Either extend your booking if there are no other bookings or please leave the desk.
  • Please do not close the dedicated desk room door. The door needs to be open all the time.

Color codes on desk #

There is a light under the desk that signals to you whether it is free to book or busy. Light codes are the same as all our other resources, like private booths, Meeting Rooms, and phone booths.

GREENDesk is free and you can book it.
BLUEThe desk has active bookings. If you are the one booking it, that means the desk is ready for your booking time.
REDYour booking has ended, or the desk is currently busy. If lights turn red while you are working at the desk, that means your booking ended. Either leave the desk or try to extend your booking if the desk is available.
If the desk already has a red light, you cannot book this desk; please choose another one.
No LIGHTThe desk is 24/7 reserved or under contract. Please choose another desk to book.

How to use your desk #

Dell 27″ monitor #

On dedicated desks #1 to #3, we have 27″ Dell monitors installed on the wall. You can connect your laptop or mobile device with the USB-C cable hanging by the right bottom side of the monitor.

You can adjust the monitor to your liking.

  • Tilt
  • Swivel
  • Rotation – Please exercise caution when rotating the AC and USB-C connection cables cables.cted to the monitor. Please do not force it and ask one of our staff for help if you need.
  • Up and down – To take it down, move it all the way up, then slowly down again. It might be somewhat challenging, but you can always ask our staff for assistance. Please do not force it; movements should be fluent and effortless.)

Light fixture and outlets #

You can activate the light fixture on the desk by touching it on the area attached to the desk.

The two AC outlets on the back of the same light fixtures let you charge your devices.

Dedicated Desk Under Desk Light Button

While your booking time goes on and you are working at your desk, there will be blue light under your desk. If this light annoys you while working:

  • One click – To turn OFF/ON light under desk
  • Two click – To dim the same light to 50% or back 100%

When you click, please wait for a second, as there may be a delay. The light will turn on and glow red when your booking ends, regardless of the circumstances. When this happens, please leave the desk or extend your booking if the desk is available.
